General Data Protection Regulation (GDPR) Privacy Policy

As a registered charity AJA is obliged to comply with GDPR and is required to let you know what personal data of yours the Association keeps and how it may be used. Please read the following and if you are in agreement sign and date this statement and return to the AJA administrator.

In order to fulfil its obligations to members, candidates and registering bodies (BPC, UKCP and IAAP) the Association will retain the following personal data:

 (for the purposes of this form,by Association we mean the AJA administrative office, the training administrator and/or KVT business care)

  • Your name, home address, business address (if different to your home) telephone number(s) and email address.
  • Your annual membership return, which states your charitable work, professional liability insurance details, declaration regarding complaints, registration details of BPC and/or UKCP, and your IAAP registration which will disclose your age range if claiming free subscription. It will also ask your permission regarding publication of your professional contact details on the AJA website.
  • Your annual CPD return, which describes your professional development along with your personal statement. This return will also disclose third party information – the names and telephone numbers of your two clinical executors and your next of kin.
  • If you are applying for professional membership, or Training Supervisor, there will also be details of your application available to those people on the Professional Committee and senior members of AJA who are involved in assessing your application.
  • There may be ad hoc information retained regarding dietary and mobility issues if booking for an AJA event.
  • FOR CANDIDATES: i) AJA will retain all training submissions (reports, required written work, reviews) in your personal folder until you qualify. ii) In addition, Training Committee minutes are stored for the use of the committee and they will from time to time hold items pertaining to individual candidates under their own initials. These items will be in a Confidential section and not distributed beyond the committee.
  • Documents relating to any grievance or appeal lodged by a member or candidate will be retained in secure online storage throughout the procedure. They will only be accessed by people involved in the proceedings (this may include up to two external adjudicators in the case of a grievance outcome progressing to an appeal) and will be destroyed after the final outcome is reached.
